Job Description

Are you a master of the "invisible details"? We are seeking a sophisticated, highly organized Executive & Personal Assistant to support a high-profile Principal. This isn't just a desk job; it is a vital role managing the intersection of a busy professional life and a complex personal estate.

The ideal candidate thrives in an environment where precision is the standard, discretion is a given, and anticipating a need before it’s spoken is considered an art form.

salary: $70,000 - $80,000 per year
shift: First
work hours: 8 AM - 4 PM
education: High School

Responsibilities

  • Manage and file sensitive records for multiple entities.

  • Handle credit card reconciliations, personal entity check orders, and the scanning/organization of income tax documentation.

  • Act as a strict liaison for incoming calls, ensuring only priority stakeholders.

  • Manage business memberships and subscriptions for various professional organizations.

  • Coordinate complex itineraries for trips.

  • Oversee maintenance schedules and payments for residences and properties.

  • Manage personal appointments and facilitate specialized orders, including deliveries and specific kitchen/beverage inventory.

  • Ensure the private office and personal refrigerator are stocked according to specific preferences; manage daily lunch orders from preferred local vendors.

  • Execute high-volume tasks such as holiday card labeling and event attendee tracking as requested.

  • Must have a proven track record of handling highly confidential information with absolute integrity.

  • Ability to learn the Principal’s preferences deeply and execute tasks with minimal direction.

  • Superior filing and digital organization skills, particularly regarding financial and legal records.

  • Ability to pivot between administrative tasks and personal errands seamlessly.
