Job Summary:

The Project Coordinator will support airport-wide technology deployments and operations at major airport locations, combining administrative and technical responsibilities. This role involves coordinating project activities, tracking progress, managing documentation, and facilitating communication among diverse stakeholders to ensure successful execution of projects and programs.

Responsibilities:
  • Support system deployments, operations, and system analysis/design projects.
  • Organize project activities, track progress, and manage project documentation.
  • Facilitate communication among stakeholders and coordinate project schedules and milestones.
  • Plan and decompose project outcomes into tasks, identify dependencies, estimate efforts, and distribute work.
  • Support project management functions including schedule and budget tracking under project manager direction.
  • Manage multiple concurrent efforts and provide coordination support for various teams.
  • Conduct risk assessments and briefings to advise on critical deployment issues.
  • Maintain trackers and reports including action items, risks, issues, dependencies, and decision logs.
  • Coordinate meetings by preparing agendas, capturing outcomes, and ensuring follow-up on tasks.
  • Assist with change management, deployment readiness, training coordination, and communication support.
  • Engage with stakeholders at all levels to gather feedback and ensure alignment with business priorities.
  • Prepare written materials, facilitate presentations, and conduct formal briefings.
  • Document meetings, minutes, action items, and decisions to ensure accountability.
Required Skills & Certifications:
  • Minimum 3 years of experience in project management or project coordination.
  • Experience in information technology environments supporting system deployments or technical projects.
  • Proficiency with Microsoft Word, Excel, and PowerPoint.
  • Strong organizational, communication, attention to detail, and follow-up skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to work independently and collaboratively with cross-functional technical and business teams.
  • Background checks and compliance with security policies including Airport Operations Area (AOA) badge requirements.
Preferred Skills & Certifications:
  • Project Management Professional (PMP), Certified Associate in Project Management (CAPM), Scrum Master, or similar certification.
Special Considerations:
  • Must comply with all Airports Authority information security and cybersecurity policies.
  • Background investigation required for contractor personnel.
  • Protection of sensitive operational and infrastructure data is mandatory.
  • Contractor personnel must obtain and maintain Airport Operations Area (AOA) security badges.
  • Confidentiality and non-disclosure agreements must be signed prior to system access.
  • Any personnel changes require prior written approval from the Contracting Officer.
Scheduling:
  • Full-time position requiring 40 hours per week for a 12-month period.
  • Work performed during normal business hours: 8:00 AM to 6:00 PM Eastern Time.
  • On-site presence required at least 4 days per week with 1 day remote work permitted, subject to coordination.
  • Primary work locations include Washington Dulles International Airport and Airports Authority Corporate Headquarters.
